Backup: No Such Thing As Too Much?

Keep your data safe, in a safe. Preferably at least two different safes. They don’t have to look like this one.

With worrying about data loss, companies tend to overcompensate on backup storage assuming ‘more is safer.’ Yet excess capacity comes with a cost. We recently came across this example when onboarding a new client.

In reviewing the clients’ solutions, it turned out over 5 terabytes (TB) of backup space had been purchased on a monthly rolling subscription from their incumbent IT supplier. This seemed like an insane amount of storage for a small business, upon digging a little deeper we found out that the business was only using 5 gigabytes (GB) – a thousandfold capacity! All those empty terabytes racked up pointless recurring fees for infrastructure, licensing, and management. Hard-earned money was just being thrown down the drain.

Why the disconnect? Habitually upgrading storage without verifying utilisation or growth.




The difference between needed and allocated? Significant:

5 Gigabytes stores:

  • 2,500 music albums or 

  • 50 hours of videos or

  • 250,000 documents

5 Terabytes stores: 

  • 2.5 million music albums or

  • 50,000 hours video or

  • 250 million documents

A vast amount of storage difference!


We took the client from planning their storage by ‘more feels safer’ guesswork to deliberate modelling based on data intelligence and business trends. Reducing their backup costs made budget available for other security measures, meaning they were able to enhance their businesses security and save money.
